Privacy Policy

Effective: May 19, 2026 · Last updated: May 19, 2026

1. Summary

This Privacy Policy explains how Pioneer Time Tracker(“we”, “us”, “our”) collects, uses, stores, and protects your personal data when you use the service. If you do not agree with this policy, please do not use the service.

Pioneer Time Tracker is a private tool that helps you record your own field-service hours, credit hours, monthly Bible studies, and yearly progress. It does not store information about other people (no Bible students, no return-visit contacts, no third-party data of any kind).

2. Who we are

Pioneer Time Tracker is operated by NoCodeMinute LLC. We are the data controller for the personal data described in this policy.

Contact for privacy questions: hello@clmscheduler.com

3. What personal data we collect

We collect only what is needed to provide the service:

Account informationEmail address, password (handled by Firebase Authentication and never visible to us), display name
Service tracking dataDaily hours, credit hours, daily private notes, monthly studies, yearly goal, service-year totals
SettingsReport recipient email (chosen by you), theme preference (system / light / dark)
Technical metadataAccount creation timestamp, last-update timestamp, consent records
Contacts feature (allowlisted accounts only)If the operator has enabled the Contacts feature on your account, any personal contacts you choose to enter: first and last name, structured address (street, city, state, postal code, country), latitude/longitude derived from the address, phone numbers, email addresses, free-text notes, and dated visit notes. Your browser’s geolocation is requested only if you click the “Show my location” button and is never stored on our servers.

We do not collect:

  • Contact data about anyone other than you, unless the Contacts feature is explicitly enabled on your account by the operator (see § 3a below)
  • Geographic location of you the account holder (the Contacts feature can request your browser location on demand, but we do not store it server-side)
  • Analytics, advertising, or behavioral tracking identifiers
  • Information from social-media accounts

3a. Optional Contacts feature (allowlisted users only)

The Contacts feature is disabled by default. The operator may enable it on a per-account basis for invited users based in the United States. When the feature is enabled on your account, you may use it to record private personal contacts (names, addresses, phone numbers, emails, notes, and per-contact visit notes) for your own reference.

Controller relationship. When you enter information about third parties, you act as the data controller for that information; we act as a processor on your behalf. You are responsible for ensuring you have a lawful basis to store and process each contact’s personal data, including any consent or notice that the laws applicable to you and to that contact require. Section 6 of our Terms of Service sets out the rules that govern your use of the feature.

How the data is used.Your contacts are private to your account. We do not share, sell, or otherwise disclose them. We do not email, text, call, or otherwise reach out to your contacts on your behalf. Addresses you enter are sent to OpenStreetMap’s Nominatim service to convert them to latitude/longitude coordinates so we can show them on a map; Nominatim is operated by the OpenStreetMap Foundation and acts as a subprocessor for that step (see § 6).

Religious-context note.Because Pioneer Time Tracker is designed for the personal use of Jehovah’s Witness publishers, you might add contacts whom you visit for religious reasons. Information that reveals religious belief is special category data under GDPR Article 9. If you choose to enter such data into the Contacts feature, you are responsible for any consent or other lawful basis that applies to the contacts you store. We process the data only on your instruction and only to provide you with the Contacts feature.

Your control. You may delete individual contacts and visit notes at any time from the app. Deleting your account removes all contacts and visit notes immediately. You can also download a JSON export of your contacts from the Settings page (see § 9).

4. Special category data — religious activity (GDPR Article 9)

The data you record in Pioneer Time Tracker (hours of field service, monthly Bible studies, credit hours, etc.) reveals that you participate in religious activity as a Jehovah's Witness publisher. Under EU and UK GDPR Article 9, this is special category personal data, which has additional protections.

Lawful basis. We process this category of data on the basis of your explicit consent (Article 9(2)(a)). When you create your account, you must affirmatively check a separate consent box acknowledging that you understand the religious nature of the data and agree to its processing for the sole purpose of providing this tracker.

Withdrawal. You can withdraw your consent at any time by deleting your account from the Settings page. Account deletion permanently removes your profile, daily entries, monthly studies, any contacts and visit notes you stored under the optional Contacts feature, and your authentication record from our systems.

5. Why we process your data (GDPR Article 6 lawful bases)

  • Performance of a contract (Art. 6(1)(b)): to provide the tracker service you signed up for.
  • Explicit consent (Art. 6(1)(a) and 9(2)(a)): for processing of religious-activity data, as described in section 4.
  • Legitimate interests (Art. 6(1)(f)): service security, fraud prevention, and minimal operational logging.

6. Who we share data with (subprocessors)

We use the following third-party services. Each is a data processor under GDPR and is bound by Standard Contractual Clauses (SCCs) where applicable.

SubprocessorPurpose
Google LLC (Firebase)Authentication, database (Cloud Firestore), hosting, serverless functions
Wildbit LLC (Postmark)Email delivery (account verification, password reset)
OpenStreetMap Foundation (Nominatim, Photon mirrors)Address geocoding and autocomplete — used only when the Contacts feature is enabled on your account. Addresses you enter are sent to OSM-operated endpoints to look up coordinates. No account identifiers are sent.
OpenFreeMap (Hetzner)Map base-tile imagery rendered by the Contacts feature. We send only the map viewport coordinates needed to fetch tiles.

We do not sell or rent your personal data. We do not share it with advertisers, data brokers, or other third parties beyond the subprocessors listed above.

7. International data transfers

Your data is stored on servers operated by Google (Firebase) in the United States. Email is processed by Postmark, also in the United States. If you are located in the European Economic Area, the United Kingdom, or Switzerland, this means your data is transferred outside your jurisdiction.

We rely on the European Commission's Standard Contractual Clauses, incorporated by reference through Google's Data Processing Addendum and Postmark's DPA, as the legal mechanism for these transfers.

8. How long we keep your data

  • Active accounts: for as long as your account is active.
  • Deleted accounts: profile data, daily entries, monthly entries, any Contacts and visit notes you stored under the Contacts feature, and authentication records are permanently removed immediately when you delete your account.
  • Operational logs: we do not maintain operational logs containing personal data beyond what Firebase retains by default (typically 30 days for diagnostic logs).
  • Backups: Firebase may retain backups for limited periods as part of standard disaster-recovery practice, subject to Firebase's own retention policies.

9. Your rights

Depending on where you live, you may have the following rights:

  • Access: see what data we hold about you. Most of it is visible to you in the app; for a full export, email us.
  • Correction: fix inaccurate data. You can edit your profile directly in Settings.
  • Deletion: delete your account from the Settings page, or email us to request deletion.
  • Restriction or objection: ask us to limit how we process your data.
  • Portability: request a machine-readable copy of your data.
  • Withdraw consent: at any time, by deleting your account.
  • Complaint: file a complaint with your local Data Protection Authority (in the EU/EEA/UK/Switzerland).

To exercise any of these rights, email hello@clmscheduler.com. We will respond within 30 days.

10. Cookies and local storage

The app uses:

  • Authentication cookies set by Firebase Authentication to keep you signed in.
  • Browser localStorage to remember your theme preference (system / light / dark) on your device.

We do not use any tracking, analytics, or advertising cookies.

11. Children’s data

Pioneer Time Tracker is intended for adult publishers tracking their own ministry activity. The service is not directed at children under 16. If we learn we have collected data from a child under 16 without verifiable parental consent, we will promptly delete it. If you are a parent or guardian and believe your child has provided us with personal data, please email us.

12. Security

We protect your data with the following measures:

  • HTTPS encryption in transit
  • Firestore security rules restricting access to your own data only
  • Email verification required before tracker data can be created
  • Content Security Policy and other security HTTP headers
  • Account deletion requires a typed “DELETE” confirmation and runs server-side through an authenticated Cloud Function
  • Password storage and authentication handled entirely by Firebase Authentication; we never see your password

No system is perfectly secure. If we become aware of a personal-data breach affecting you, we will notify you and the relevant authorities as required by law.

13. California residents (CCPA / CPRA)

California residents have specific rights under the California Consumer Privacy Act (as amended by the CPRA). These largely overlap with the GDPR rights above. You may request to know, delete, or correct your personal data, and you have the right to non-discrimination for exercising these rights. We do not sell personal information.

14. Changes to this policy

We may update this policy as the app evolves or as laws change. The “Last updated” date at the top will reflect any changes. Material changes will be announced in-app the next time you sign in.
